Appointment Policies

Orthodontist | Seattle, WAUnderstandably, many patients prefer not to miss work and parents prefer that their children do not miss school for their orthodontic visits.  However, let us explain the situation every orthodontic office faces.

Because 90% of our patients either work or attend school, our office hours would have to be 3:30 to midnight to accommodate everyone!  We are certain you will agree that such a schedule is impractical!

Therefore, we reserve appointments before and after work or school for appliance checks and progress checkups.  This allows us to accommodate many patients for these short appointments.  Longer appointments and emergency or repair appointments are scheduled during school or work hours, when more time can be spent with the patient.

As a result, our afternoon appointments are booked very heavily so that as many patients as possible do not have to miss school or work.  If you want to come in at a quieter time, we suggest a morning appointment.  If the patient is a student, these appointments are easy to arrange during study period, lunchtime or recess.

Your scheduled appointment time has been reserved specifically for you. We request 48-hours notice if you need to cancel your appointment. We are aware that unforeseen events sometimes require missing an appointment. After missing your second appointment without notifying us 48 hours in advance, you may be charged an additional fee.

If patients are late because of unavoidable circumstances (e.g. heavy traffic), we cannot, in fairness to everyone else, “squeeze” the latecomer into the schedule.  We will always offer to let the late arrival wait for an opening to occur, but this may not be convenient for you, and it may be easier to reschedule.

All failed or late appointments must be rescheduled as soon as possible!  To wait four weeks for another “convenient” appointment to become available is not good policy!  Since our “after school” appointments are usually booked 4-6 weeks in advance, it will probably be necessary to reschedule the missed appointment during school/work hours. Knowing that this is not a very popular option, every effort should be made to keep the original appointment!

Your understanding in this matter would be greatly appreciated, for we do not feel we can make selective exceptions.  When, at times, it seems as though we are inflexible with our schedule, please remember that we are trying very hard to be on time and fair to everyone.

As always, we are available for questions or comments. We want to know when you are pleased, and we want to know when you are not!

Financial Policies

Orthodontist | Seattle, WAWe appreciate and respect your decision to invest in orthodontic treatment, for yourself, your children, or other loved ones. The dividends from your investment in orthodontic treatment will be manifested not only by a winning smile that will enhance self-esteem and self-confidence, but will also improve the functionality and the longevity of your dentition - your teeth.

Orthodontic treatment results in the overall dental and psychological well being of children and adults, and financial considerations should not be an obstacle to obtaining this important health service.  Being sensitive to the fact that different people have different needs in fulfilling their financial obligations, we offer various payment options. These can be discussed at your first visit to our office.

Insurance Benefits

Our office is committed to helping you maximize your insurance benefits. Because insurance policies vary, we can only estimate your coverage in good faith but cannot guarantee coverage due to the complexities of insurance contracts. The amount due at the time of services will depend on the payment arrangements that you have accepted at the time of starting treatment at our office. As a courtesy to our patients, we will bill insurance companies for procedures performed by our office. If your insurance covers orthodontic treatment, you will receive the benefit of reduced personal costs. Many insurance policies have a lifetime orthodontic benefit that is distinct from regular dental insurance. Remember that insurance policies vary, and we will review your benefits to determine the appropriate course of action. Once treatment has started, we will gladly assist you with filing your insurance claims.

To help us with this process, please complete the insurance questions on our health history form, which will be mailed to you when you schedule your first visit. Please remember that orthodontic insurance is a benefit for you or your child. If, during the course of treatment, your benefits change, the financially responsible party is accountable for all charges.
